Foothills Landscape Maintenance, LLC is a growing and well-established landscape maintenance company based out of Windsor, CO that serves the Northern Colorado area.

A Brief Overview
Engage, manage, and improve operations of FLM. You will lead and motivate. You will develop and implement strategic and tactical plans to grow the business while maintaining the quality upon which our reputation is built. Manage contracts and client expectations to achieve optimal satisfaction. Your proficiency, excitement, attitude and passion are valued. Other landscape maintenance duties may be required. Snow removal is required in the winter months. Understand and implement company policies and procedures.

What you will do

  • Assist with the fiscal operation of landscape services contracts. This includes managing contracts for profitability, timely execution and customer satisfaction. Meets financial objectives by estimating requirements; scheduling expenditures; analyzing variances; initiating corrective actions. Generate estimates and proposals. This includes assuring accuracy of estimates, and structuring proposals to be responsive to customer requirements while also reducing risk to FLM. Organize procurement activities to achieve advantageous pricing, delivery and quality. Accounts Receivable - Collect deposits for jobs prior to beginning work on the job and turn in promptly - Collect final payment at final walk through - Assist with collection efforts for unpaid invoices - Accurately processes daily work orders and paperwork, per established process - Bill jobs in a timely fashion once completed; review and approve invoices. Accounts Payable - Ensure all tickets from job purchases are turned in daily with the corresponding work orders - Verify that all charges are accurate and that job names are notated on all purchases - Set up all vendors prior to work being completed in order for payment to be issued Budget - Manage maintenance division profitability by monitoring the maintenance budget for overages on a regular basis - Give input to create annual maintenance budget - Forecast any fixed asset purchase needs Credit Cards: - Turn in all credit card expense forms in a timely fashion Taxes - Make sure purchases are non-taxable for all materials needed on job sites - Make sure all purchases for company use are taxable (i.e. tools, equipment, etc.) Bidding - Complete Contract Renewals – within 60 days of contract expiration - Enhancement Bids – as requested and proactively.
  • Achieves operational objectives by contributing information and analysis to strategic plans and reviews; preparing and completing action plans; implementing production, productivity, quality, customer-service, safety, security, and health standards; identifying and resolving problems; identifying, developing, and implementing system improvements. Oversee maintenance of all materials, tools, equipment and vehicles necessary to accomplish the work undertaken. Operations Vehicles/Trailers/Equipment - Coordinate with Construction Manager to schedule vehicles, trailers, and equipment to the appropriate crews - Report any notification from crews of repairs needed to Mechanic in timely fashion - Purchase equipment and tools required to complete scheduled work Property/Assets - Ensure that employees are properly maintaining all business property in an acceptable manner Office - Maintain a clean, organized, effective and efficient work space and files--both paper and virtual - Notify office of any supply purchase needs
  • Plans contract execution by deploying company resources; planning, monitoring, and coordinating information and requirements with the Owners and other members of Management. Build long term, profitable, trust-based relationships with customers. Anticipate customer requirements and concerns. Manage expectations. Deliver value in a manner that meets both customer and FLM goals. Employee Management - Schedule and oversee multiple crews on a daily basis in an efficient manner to complete contracted work - Coordinate multiple divisions to achieve contract execution Contract Execution - Schedule all sub-contractors needed - Order all job materials necessary to complete scheduled work in a timely fashion - Verify and fulfill all warranty requests in a timely fashion - Coordinate with Construction Manager to schedule and manage all snow operations in a timely fashion Client Acquisition and Retention - Proactively manage properties by inspecting and locating problems before customer complaints - Frequent, professional, timely communication with Property Managers and Boards - Schedule all work that is contracted in a timely fashion - Monitor activity of crews to ensure client satisfaction - Seek out new customers
  • Manages employee outcomes by recruiting, selecting, orienting, training, assigning, scheduling, coaching, counseling, and disciplining employees; communicating job expectations; planning, monitoring, and reviewing job contributions; planning and reviewing compensation actions; enforcing policies and procedures. Payroll Procedures - Ensure that all employees are clocked in and out each day at the proper job code - Report any absences to the office to be recorded in the employee file - Turn in all employee raises, reviews, and promotions prior to the end of the pay period Benefits/Policies/Procedures - Review all policies and procedures and safety requirements with new hires prior to allowing them to work on a job - Ensure that all employees are following the policies and procedures and all safety requirements at all times - Assist with maintaining the safety and drug and alcohol programs with Director of Operations Hiring/Training/Safety/Termination - Interview and hire staff by following company policies and turn in the appropriate paperwork in a timely fashion - Train all new hires on safety protocol prior to allowing them to work on a job site - Conduct monthly safety meetings - Terminate staff by following company policies and turn in the appropriate paperwork in a timely fashion - Complete annual reviews with all staff and adjust salaries accordingly - Perform disciplinary actions as necessary and turn in to office to be recorded in the employee file
  • Meets contract demands by hiring, orienting, and coaching subcontractors; verifying work in progress; resolving problems; reporting progress. Negotiating subcontractor rates; meeting profit projections; anticipating requirements; scheduling subcontractors; scheduling expenditures; monitoring sub-contractor costs; analyzing variances; reviewing and approving invoices; recommending revision of sub-contractor agreements.
  • Contributes to organization success by welcoming related, different, and new requests; helping others accomplish job results.
  • Provide on-the-job training and supervision, leading and teaching others. Identifying the developmental needs of others and coaching, mentoring, or otherwise helping others to improve their knowledge or skills.
  • Implement safety, quality, cleanliness and security guidelines for site, persons and equipment.

Qualifications

  • 3 years or more Knowledge of or background in horticulture Or
  • 3 years or more Experience in landscape maintenance or installation services Or
  • 3 years or more Management experience Or
  • A strong working knowledge of the tools, materials and practices for landscape maintenance or installation. High
  • Excellent listening, verbal, and written communication skills. High
